The Office Coordinator is responsible on a daily basis for ensuring the smooth operation of the Office and Administrative functions, as well as providing administrative support to the Chief Executive Officer.
The Office Coordinator is a member of the administrative team, which includes the Chief Executive Officer, Managing Director, Finance and HR Manager, the Technology Manager, and the communications team.
The administrative team works together to provide high quality and timely support to the work of the organization.
Key Responsibilities
o Present a professional, welcoming first contact to all clients, funders, vendors, board members, staff, media, etc -by phone, in person, and email. Responsibility for development & implementation of efficient office systems.
o Responsible for keeping office equipment and stationaries maintained
o Responsible for organizational functions and general meeting support: including arranging, follow up calls, maintaining office space schedules, securing food and supplies, copying + faxing
o Responsible for incoming and outgoing mail, shipping and receiving
o Responsible for maintenance of common spaces for appearance and functionality
o Responsible for managing supplies and maintenance of storage areas
o Provide support for teams: staffs travel arrangements and expense tracking, program and stipend supplies, etc
o Provide support for Marketing/Communications; maintain mailing list, assist with mailings and packets, web updating
o Provide support for IT department: help monitor staff needs, assist staff with problem solving, assist IT staff as requested
o Provide support for Human Resources: interview schedule, applicant pool, resume files, orientation, monitoring time sheets
o Provide support for Finance; monitor staff credit purchases and documentation, reconcile monthly expense bill
o Track and help manage CEO calendar, assist with meeting set up, and other duties as assigned
Desirable Candidate
o Agile and ability to work under pressure
o Excellent communication both English and Hindi
o interpersonal skills
o Bachelor’s degree in any discipline.
o Good knowledge on Microsoft office applications and typing
o Ability to obtain information from internet
