In India Jhpiego works by providing technical assistance on family planning, maternal and child health through pre-service and in-service training and capacity building of health care providers. Our focus is on improving quality of services by implementing standard based management and recognition approach. We work across nineteen states in India in close coordination with National and State Government. Our projects are funded by USAID and other donors such as The Bill & Melinda Gates Foundation, NIPI, Packard Foundation and others.
Jhpiego is hiring for the position of Finance Assistant based at New Delhi. The position reports to the Finance & Administration Officer. The position will provide assistant for maintaining books of accounts, voucher entry, record keeping and other related tasks.
Responsibilities:
o Serve as a key contact person for retrieval of financial records.
o Assist with bookkeeping, financial records keeping.
o Prepare monthly Bank Reconciliation.
o Prepare vouchers and checks for signature.
o Provide data entry support for generating records into accounting software Quick Books.
o Maintenance of financial transactions, which includes updated records of project codes, line items, filing periodical reports and other finance related transactions and documents.
o Assist with payment disbursement including preparing forms and receipts for approval and payment (personal reimbursements, travel reimbursements, telephone reimbursement, salary, consultant payments) communication about payments made, and recording information in relevant database.
o Assist with reviewing invoices received from vendors and keeping track of travel/ workshop advance and its liquidation upon submitting travel expense report/ workshop expenses by the concerned staff.
o Dispatching checks and drafts to other state offices and vendors.
o Assist in coordination with new staff for opening of salary account and liaison with the bank (e.g., follow-up with the bank for issuance of demand drafts, check books, and visit banks).
o Assist in maintaining staff records of proposed investment declarations for the financial year and preparing tax liability and keeping track of changes in the investment and maintaining the TDS database by entering details of consultants, contractors and staff.
o Assist the Finance Officers in compiling the monthly financial report including checking documentation and making sure of timely compilation of vouchers and bills.
Abilities/Skills:
o Strong computer skills including knowledge of MS Office.
o Detail-oriented and rigorous in approach to tasks.
o Fluent in English and Hindi communication skills both written and written and verbal.
o Ability to work as part of a team.
o Flexible work style and demonstrated ability to organize and prioritize work.
o Ability to interact and work skillfully and diplomatically with both internal and external people.
o Ability to handle a variety of assignments under stringent project deadlines.
o Ability to work in a team.
o Willingness and flexibility to work on a wide range of tasks.
o Ability to work in a multicultural work environment.
o Ability to travel up to 20% of his/her time.
Qualifications/Knowledge:
o Bachelor’s degree in commerce or other relevant field.
o 3-5 years of experience in bookkeeping and preparing vouchers, checks and payment disbursements.
o QuickBooks experience is a must. Working knowledge of other Accounting Software like Tally would be an added advantage.
o Experience working in INGOs would be preferred.
